Abstract (eng): | Manufacturing companies are increasingly providing industrial services in complement with physical products. This shift towards services has introduced new supply chain related challenges to manufacturing firms. One of them is: how to successfully manage the information and transaction centric order-to-cash process in industrial services? The objective of this study is to find out, whether and how the order-to-cash process of industrial services could be improved by utilizing workflow management technology. Workflow management concerns the automated coordination of processes, where tasks and all the necessary information needed to perform these tasks are passed between humans and applications according to predefined rules. Workflow management systems (WfMS) can be utilized to design, enact, monitor and analyze business processes. They are able to interpret graphically designed process models, i.e. workflows, and to call for resources (both applications and people) accordingly ensuring a fast process execution. Furthermore, such systems serve as platforms, to which other applications are easy to be integrated. Other benefits related to the use of WfMSs are increased process control, better visibility, improved quality and flexibility. The objective is approached with a qualitative case study that covers the order-to-cash processes of two service lines in a telecommunications company, i.e. installation services and maintenance services. Challenges in them are reflected against the capabilities and benefits related to the contemporary workflow management systems. The major challenges in the order-to-cash process of installation services were identified to be lack of overall process understanding, deficiencies in visibility and process discipline, unnecessary costs related to high rate of order changes and rework, high level of work in progress, long order-to-cash lead time incurring slow capital turnover. In the order-to-cash process of maintenance services the major problems are related to discipline, communication of contract updates and overall process understanding. The benefits gained in previous WfMS implementation cases are aligned with the challenges related to managing the current order-to-cash process in the studied services lines. It indicates that workflow management lends itself to managing order-to-cash processes of industrial services. Especially potential workflow management is in project type services, where the order-to-cash process is explicitly related to the service delivery process and milestone acceptances. Implementing a WfMS to manage the order-to-cash processes in the case company is suggested and to-be workflows for the order-to-cash processes are presented. |
Abstract (fin): | Teollisuusyritykset tarjoavat asiakkailleen kasvavassa määrin palveluja fyysisten tuotteiden lisäksi. Muutos perinteisestä tuotantoyrityksestä palvelun tarjoajaksi aiheuttaa toimitusketjun hallintaan liittyviä haasteita. Eräs haaste liittyy informaatio- ja transaktiokeskeisen tilauksesta - laskuun prosessin hallitsemiseen. Tämän työn tavoitteena on selvittää kuinka työnkulun hallinta teknologiana soveltuu teollisten palvelujen tilauksesta - laskuun prosessin kehittämiseen, ja kuinka sitä voisi hyödyntää. Työnkulun hallinnalla tarkoitetaan prosessien automatisoitua koordinoimista, jossa tehtävät ja niiden suorittamiseen tarvittava informaatio siirtyy ihmisten ja tietojärjestelmien välillä ennalta määriteltyjen ehtojen mukaisesti. Työnkulunhallintajärjestelmät soveltuvat liiketoiminta prosessien suunnitteluun, täytäntöön panemisen, seurannan ja analysoinnin. Ne kykenevät tulkitsemaan graafisia prosessimalleja eli työnkulkuja ja kutsumaan tarvittavia resursseja (sekä ihmisiä että järjestelmiä) työnkulkujen mukaisesti. Tämä johtaa prosessin tehostumiseen. Työnkulunhallintajärjestelmät toimivat lisäksi alustana, johon muita ohjelmistoja on helppo integroida. Muita järjestelmien käytön myötä saavutettuja hyötyjä ovat parantunut prosessien kontrollointi, näkyvyys,laatu ja joustavuus. Tavoitetta lähestytään kvalitatiivisella tapaus-tutkimuksella joka käsittelee erään telekommunikaatioalan yrityksen kahden palvelu linjan (installointi ja huolto) tilauksesta - laskuun prosessia. Tutkittavien tilauksesta - laskuun prosessien haasteita peilataan nykyaikaisten työnkulunhallintajärjestelmien toiminnallisuuksiin sekä hyötyihin. Merkittävimmät haasteet installointi palvelun kohdalla ovat prosessin kokonaiskuvan ymmärrys, prosessin läpinäkyvyys, kurinalaisuus, tilausten muutoksista aiheutuvat kustannukset ja lisätyö, korkea keskeneräisen työn aste, pitkä tilauksesta - laskuun läpimenoaika ja hidas pääoman kierto. Huoltopalvelun kohdalla suurimmat haasteet liittyvät kurinalaisuuteen, sopimuspäivitysten kommunikointiin ja prosessin kokonaiskuvan ymmärtämiseen. Aikaisemmista työnkulunhallintajärjestelmien implementaatioista saavutetut hyödyt ovat linjassa tutkituissa tilauksesta - laskuun prosesseissa havaittuihin haasteisiin, mikä viittaa teknologian soveltuvuuteen teollisissa palveluissa. Erityisesti projektiluontoisissa palveluissa, jossa tilauksesta - laskuun prosessi on kytköksissä palvelun toimitusprosessiin ja projektivaiheiden saavuttamiseen, työnkulunhallintajärjestelmä on potentiaalinen. Tutkituille tilauksesta - laskuun prosesseille esitetään sovellustavat ja ylätason työnkulut. |
